Use AI for speed while keeping a person accountable for consequential actions.

The safest AI automation may be the one that stops one step before the action that can damage trust.

Tip

Create an approval gate between the AI-generated output and the real-world action. The AI may draft the client email, proposal, refund response, campaign copy, or contract summary. A named reviewer must approve, revise, or reject it before anything is sent, published, paid, or recorded. Start with a simple rule: if the output affects money, reputation, employment, legal obligations, privacy, or a client relationship, a person owns the final decision.

Why It Matters

Many teams treat human oversight as a vague instruction to “check the AI.” That is not a control. An approval gate assigns a decision owner, creates a pause, captures the reason for the decision, and prevents an assistant or agent from turning a plausible draft into an irreversible action. This protects speed without transferring accountability to software.

Business Impact

A practical pilot should measure both productivity and quality. Use your baseline rather than accepting generic ROI claims.

· Planning estimate: save 15–30 minutes on each first draft while retaining a 3–8 minute approval step.

· For 20 recurring communications per week, a 20-minute net reduction equals about 6.7 hours returned to the team.

· Reduce rework by catching tone, policy, pricing, confidentiality, and client-context issues before release.

· Improve employee confidence because staff know which actions require approval and who owns the decision.

Three Specific Use Cases

Small Business: A consulting firm lets AI draft proposals from discovery notes, but the engagement lead must approve scope, fees, assumptions, and promises before delivery.

Enterprise: A customer-service agent drafts a response and recommended credit. Routine drafts can be prepared automatically, while refunds above a threshold and policy exceptions require manager approval.

Personal Productivity: AI drafts sensitive emails, LinkedIn posts, or meeting follow-ups. You review names, commitments, tone, dates, and confidential details before sending.

Example

A career coach used AI to draft post-session recaps. The first workflow saved time but occasionally overstated what the client had agreed to do. The revised process required the coach to approve four fields—goal, commitment, deadline, and support needed—before the recap was sent. Drafting became faster without weakening the coaching relationship.

Ready-to-Use Prompt

You are preparing a draft for human approval. Do not present the output as final and do not take any external action.

Task: Draft [EMAIL / PROPOSAL / RESPONSE] using the information below.
Audience: [WHO WILL RECEIVE IT]
Desired outcome: [BUSINESS OUTCOME]

Before the draft, create an “Approval Checklist” with these fields:
1. Facts or numbers that require verification
2. Commitments, deadlines, prices, or policy statements
3. Privacy or confidentiality concerns
4. Tone or relationship risks
5. Missing information that could change the answer

Then provide the draft. End with one of three statuses:
- READY FOR HUMAN REVIEW
- NEEDS MISSING INFORMATION
- DO NOT SEND — ESCALATE

Pro Tip

Separate the reviewer from the original drafter when risk is high. A second person is more likely to detect assumptions the author has already normalized. For routine work, use a single reviewer; for high-impact work, require two approvals or one subject-matter expert.

Common Mistake

The common mistake is adding “Please verify” to a prompt and assuming verification happened. Models can produce confident language without validating the underlying facts. The better approach is structural: identify the decision owner, define the approval criteria, and make the workflow technically unable to proceed until approval is recorded.

Measure Success

· Net minutes saved per approved item: drafting time saved minus review time added.

· First-pass approval rate: percentage approved without material revision.

· Post-release correction rate: items that required a correction, apology, retraction, or financial adjustment.

Avoid Using This When

Do not use a lightweight approval gate as the only control for legal advice, medical decisions, hiring or termination decisions, credit decisions, safety-critical operations, or transactions where law or policy requires specialized review. In those cases, use qualified reviewers, formal controls, audit records, and applicable legal or compliance guidance.
